BAER Assistance Privacy Notice

BAER Foundation collects only information reasonably needed to evaluate and administer Youth Access Assistance: applicant contact information, child and program information, household size, gross-income range, optional current-circumstance context, one verification document, certifications, and the resulting review record.

Use and access

Authorized BAER reviewers use this information to verify completeness, apply the objective rubric, document a decision, communicate with the applicant, and reconcile an approved award. Pure Ambition finance receives only what is needed to apply and reconcile an award. Coaches and evaluators receive no applications, financial documents, income information, narratives, scores, or tiers.

Safeguards

Documents are stored separately from operating records. Uploads are size- and type-limited, checked for valid file signatures and disallowed active PDF content, delivered only as downloads, and logged when accessed. Applicants should redact Social Security numbers, bank-account numbers, and unrelated medical information.

Retention

Verification documents are scheduled for destruction three years after submission unless a documented legal, audit, or dispute hold requires temporary preservation. Essential award, decision, and reconciliation records may be retained longer under BAER’s records policy.

Request assistance, correction, withdrawal before a decision, or information about document destruction at assistance@pureambition.org.

Incident response

For suspected unauthorized access, BAER will contain access, preserve necessary audit evidence, assess affected records, notify organizational leadership, and provide notices required by applicable law. Legal review of this notice is currently deferred.
